Closed Loop Company is a two-person firm in Toronto, Ontario. This page says what we collect through this site and our research, why we collect it and how to have it deleted. Questions go to hello@closedloop.company.
The contact form
You give us your name, your email, your team size and the job you would hand over first. It is emailed to us and filed in our list of enquiries in Google Sheets so we can reply. An AI model drafts a first answer from your team size and the job you described. Your name and email are removed before the model sees anything, and the route we use keeps no copy. A person reads every reply and sends it from our own email. We keep your enquiry for twelve months after we last talk and then delete it.
The site check
You give us a website address. We open that site's public homepage and send its text to an AI model so it can write your card. The finished card is kept by our host for up to seven days so the same address gives the same card. We do not keep a list of who checked which site.
Our host keeps short-lived request logs, including IP addresses, to run the site and to stop people from overusing the check.
The full report
If you ask for the full report, the website and your email go to our inbox and to our private list of businesses we might work with. We use them to research the business from public sources, send you the report and follow up once. We keep them for twelve months after we last talk and then delete them.
Businesses we research
We look at public information about businesses we might work with. That can include the names and job titles of people as they appear on business websites and in the press. We keep it in our private list and use it to decide who to contact. If you would like yours removed, email us and we will delete it.
How your week goes
You tell us how many people work at your company, where it is based, which tools it uses, the jobs that take up its week with the hours for each, and what an hour of your team's time costs. Your report and the proposed price are worked out in your browser, and no AI model sees your answers. When you run the report, we keep them in our Google Sheet so we can learn where small teams spend their time. We don't ask for your name or email, we don't keep your address, and nothing links the answers to you. They are kept under a six-character code that the page shows you: email us that code and we'll delete them. We keep them for twelve months and then delete them.
The task map
You give us a role, such as front desk at a bakery, and a description of that role's week. We send both to an AI model, Anthropic's Claude, through OpenRouter, and it writes the table of tasks, hours and which ones a desk could take on. The page asks you not to put anyone's name in it. When you run the map, we keep one row in our Google Sheet: the time, a six-character code, the role, your description, the table, the model that wrote it and what the call cost. There is no name, email or IP address in it. We keep it so we can learn how small teams spend their time. We keep it for twelve months and then delete it. Email us the code the page shows you and we'll delete your row within thirty days.
Who else handles it
- Vercel hosts this site, keeps the request logs and counts visits.
- OpenRouter passes the homepage text to the model that writes the card, which is made by Anthropic or Google, and passes what you type in the task map to Anthropic's Claude.
- Anthropic's Claude does our research on businesses from public sources.
- Resend sends our emails, and Google holds our inbox, our list of enquiries and our visit count.
Counting visits
Vercel Web Analytics counts our visits and sets no cookies. It records the page you opened, the page that linked you here, your country and your browser and device type. It also counts when you start a site check and whether it worked, when you ask for the full report and when you send the contact form. None of this records the website you checked or anything you typed.
We also keep our own count in a Google Sheet. It has one line for each page view, site check, full-report request, download and form sent, with the time, the page and the site that linked you here. It holds nothing about you or your device: no address, no identifier and no cookie.
Your choices
You can ask what we hold about you, ask us to correct it or ask us to delete it by emailing hello@closedloop.company. We answer within thirty days. You can stop our emails by replying to any of them.
